Senior Administrative Assistant, Executive Office
Our client, a prestigious firm in Boston, Massachusetts , is seeking a highly organized and proactive Senior Administrative Assistant to provide comprehensive support to its executive team. This hybrid role requires a professional with exceptional organizational skills, discretion, and the ability to manage complex schedules and diverse tasks efficiently. You will be a key point of contact, ensuring the smooth operation of the executive office by managing calendars, coordinating meetings, preparing correspondence, and facilitating communication. The ability to anticipate needs and manage priorities in a fast-paced environment is crucial.
Responsibilities:
Manage complex and dynamic calendars for multiple executives, including scheduling meetings, appointments, and travel. Coordinate domestic and international travel arrangements, including flights, accommodation, and detailed itineraries. Prepare, edit, and proofread correspondence, reports, presentations, and other documents. Screen and prioritize incoming communications, including emails and phone calls. Organize and manage internal and external meetings, including logistics, agendas, minutes, and follow-up actions. Assist with expense report preparation and submission. Maintain confidential files and records with utmost discretion. Act as a liaison between executives and internal departments, as well as external clients and partners. Handle special projects and ad-hoc administrative tasks as assigned. Provide support for executive events and team activities. Ensure efficient office operations and proactively identify areas for process improvement. Maintain professional demeanor and provide excellent service to executives and visitors.
Qualifications:
Associate's or Bachelor's degree in Business Administration or a related field preferred. Minimum of 5 years of progressive administrative experience supporting senior-level executives. Exceptional organizational and time-management skills. Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and virtual meeting platforms. Strong written and verbal communication skills. High level of discretion, confidentiality, and professionalism. Ability to multitask, prioritize, and adapt to changing demands. Proactive approach to problem-solving and anticipating needs. Experience in a corporate or financial services environment is a plus. Ability to work effectively both remotely and in the office environment.
