Power Automate Flow — Outlook to SharePoint PDF Auto-Filing
I need an experienced Power Automate developer to build and test a cloud flow for a small family law firm. The flow monitors our Outlook inbox, identifies emails from known clients and attorneys, and automatically saves PDF attachments to the correct client matter folder in SharePoint.
All prep work is complete — the SharePoint folder structure exists, and the lookup table (an Excel file called MatterDirectory) is already built and saved in SharePoint. You will not need to design the logic, just implement it.
What the flow needs to do:
Trigger when a new email arrives in Outlook with an attachment
Filter for PDF attachments only — ignore all other file types
Look up the sender's email address in the MatterDirectory Excel file (SharePoint)
Route the PDF to the correct SharePoint folder based on the matching row's folder path
Handle attorneys on multiple matters — one attorney can appear on multiple rows; the flow uses a "SubjectKeyword" column to match the email subject and pick the right matter folder
Handle unrecognized senders and closed matters — PDFs that can't be routed go to a staging folder, and I receive an email notification to file them manually
What I will provide:
MatterDirectory Excel file (already formatted as a named Excel Table) saved in SharePoint with these columns: MatterNumber, MatterName, ClientName, SenderEmail, SenderType, SenderDisplayName, SubjectKeyword, SharePointFolderPath, MatterStatus, DateOpened, AssignedAttorney, Notes
SharePoint folder structure already set up for client matters
Staging folder already created in SharePoint
A detailed flow build guide documenting every step, action, expression, and branching condition (written by an AI assistant — it is thorough and correct, just needs someone who knows Power Automate to implement it)
Two test matters already in the MatterDirectory for testing once the flow is built
Environment:
Microsoft 365 Business (Outlook, SharePoint, Power Automate — all included in existing subscription, no additional licenses needed)
New Power Automate designer (cloud flows)
Deliverables:
Working, tested Power Automate flow saved in my environment
Brief notes on anything I need to do to maintain it going forward (e.g. how to add new matters to the MatterDirectory)
A 15-minute screen share walkthrough once it is working so I understand what was built
Budget: $50–$100 fixed price. Open to discussion based on your experience level.
Timeline: I would like this completed within 48 hours of hiring.
Ideal candidate:
Demonstrated experience building Power Automate cloud flows with Outlook, SharePoint, and Excel Online connectors
Familiar with Filter array, Condition, Apply to each, and expression syntax
