Coordinator, HR Administration

<p><strong>This is a part-time, contract role without benefits, with the expectation to work about 20 hours and/or 3 days a week. The initial term will run through August 2027 with the possibility for extension. </strong></p><p><br></p><p><strong><u>Position Summary</u>: </strong></p><p>The Coordinator, Talent & Culture administrative and operational support to the Talent & Culture team. This role is responsible for maintaining HR documentation, managing employee lifecycle trackers, preparing employment-related documents, organizing digital records, and supporting day-to-day HR operations.</p><p><br></p><p><strong><u>Essential Functions & Responsibilities</u>: </strong></p><ul><li>Prepare, format, proofread, and maintain HR documents, including offer letters, contracts, internal communications, and related correspondence.</li><li>Work with Manager, Talent & Culture, to complete various administrative checklists (onboarding, offboarding, transfers, etc)</li><li>Support data entry and maintenance within HR systems and shared databases.</li><li>Administer PTO program within our HRIS, troubleshoot issues staff encounter</li><li>Maintain HR tracking tools to ensure timely completion of required activities.</li><li>Maintain HR calendars, reminders, and recurring compliance deadlines.</li><li>Assist with scheduling interviews, onboarding meetings, employee check-ins, and other Talent & Culture activities.</li><li>Assist with employee engagement programs, recognition initiatives, and company events.</li><li>Support administration of employee surveys and compilation of feedback results.</li><li>Help maintain onboarding materials, new hire resources, and department guides.</li><li>Provide courteous and professional support to employees regarding routine HR questions.</li><li>Monitor shared HR inboxes and route inquiries to appropriate team members.</li><li>Track and follow-up on completion of T&C activities such as performance reviews, open enrollment, annual compliance activities, etc.</li><li>Organize, maintain, and improve HR digital filing systems and document directories.</li><li>Conduct periodic audits of HR records and trackers to ensure completeness and accuracy.</li><li>Assist the Talent & Culture team with administrative projects and process improvement initiatives.</li><li>Generate reports and provide general administrative support as needed.</li></ul><p><br></p><p><strong><u>Position Qualifications</u>: </strong></p><ul><li>Associate's or Bachelor's degree in Human Resources, Business Administration, or related field preferred.</li><li>2-4 years of administrative, HR, or office support experience.</li><li>Strong proficiency with Microsoft Office Suite, Sharepoint, and document management systems.</li><li>Exceptional organizational skills and attention to detail.</li><li>Ability to handle confidential information with professionalism and discretion.</li></ul><p><strong> </strong></p><p><br></p><p><strong> <u>Physical Demands & Work Environment</u>:</strong></p><p>The Association's workforce is home-based. This position is primarily remote but will require your presence in person at various times. Being a remote position, a high-speed internet connection and presentable work environment is required for this role. Regardless of location, job demands may require long periods of sitting; telephone work and/or computer work, as well as interactions with other staff members, external vendors and SFA external constituents. There will be periodic travel required both to industry events and for team and department meetings.
