Council Office, this position ensures seamless operations, professional public engagement, and flawless meeting execution. From preparing official proclamations to coordinating Council meetings and managing confidential communications, this role is trusted with precision,

discretion, and excellence.

This is more than administrative support. It is a high-visibility position that directly impacts elected officials, city leadership, and the community.

The Administrative

Secretary ensures accuracy in public records, elevates the citizen experience, and supports transparent,

efficient government operations. The work requires independent judgment,

exceptional organization, and the ability to thrive in a fast-paced,

public-facing environment where professionalism and responsiveness define success.

\*\Examples of Work Performed\\*
  • Schedule invocators for City Council meetings.
  • Reconcile purchasing cards.
  • Prepare City Council proclamations.
  • Prepare the City Council Chambers for City Council meetings,
including beverages for the City Council Members and staff, agendas for the public, and presentation materials for citizens or employees.
  • Process room reservations for the Board Room, Council Chambers and
Lobby areas.
  • Process employee service awards.
  • Serve as the Council Office Manager: open, sort and distribute mail;
order office supplies.
  • Answer telephone calls and direct calls to appropriate City Council
Members or staff.
  • Respond to frequently asked questions by citizens or direct callers to the appropriate department.
  • Respond to e-mails in a timely manner and direct the sender to appropriate City staff for a response when appropriate.
  • Print, fax and copy materials for the City Council upon request.
  • Prepare correspondence as necessary.
  • Completion of work assignments may require the operation of a vehicle.

\*\Requirements of Work\\*
  • Considerable knowledge of business English and modern office practice and procedures.
  • Knowledge of standard computer keyboard configurations and ability to access, interpret, and record information through use of a video display terminal and electronic keyboard.
  • Knowledge of electronic spreadsheet development, using basic mathematical and descriptive statistical operations.
  • Ability to quickly develop considerable knowledge of the specialized operations of the department.
  • Ability to quickly develop considerable knowledge of city operations, rules, regulations and procedures.
  • Ability to compose letters or memorandums with a minimum of instructions.
  • Ability to receive and screen visitors and to release information appropriately.
  • Ability to communicate clearly and effectively, both orally and in writing.
  • Excellent telephone answering skills and the ability to understand the telephone system.
  • Excellent customer service skills and a desire to serve citizens.
  • Good computer skills with a working knowledge of Microsoft Office products.
  • Ability to communicate clearly both verbally and in writing.
  • Ability to develop effective working relationships with City Council
Members, City staff and citizens.
  • Ability to ompose letters or memorandums with a minimum of instruction.
  • Ability to type at least 55 words per minute and attainment of passing scores on pre-employment tests.
  • Ability to develop and maintain effective working relationships with associates, employees of other departments, representatives of other organizations, city officials, and the public.
  • May require ability to acquire and maintain a valid Kansas driver\'s license.
  • An employee shall not pose a direct threat to the health or safety of other individuals in the workplace.
