As we build out our New York metro presence, we're looking for a sharp, organized Accounting Office Manager to keep the operation running smoothly behind the scenes.</p><p><br></p><p>---</p><p><br></p><p>THE ROLE</p><p><br></p><p>This is a hands-on, dual-focus position combining daily office administration with financial management responsibilities. You'll be the operational backbone of our NY office — keeping things organized, payments flowing, and the team supported as we scale. If you thrive in a fast-paced, entrepreneurial environment and love wearing multiple hats, this role is for you.</p><p><br></p><p>---</p><p><br></p><p>WHAT YOU'LL DO</p><p><br></p><p>Office Administration</p><p>• Manage day-to-day office operations, including scheduling, communications, and administrative support</p><p>• Coordinate logistics for client orders, shipments, and deliveries alongside the sales team</p><p>• Maintain organized records for contracts, vendor agreements, and client files</p><p>• Support onboarding of new team members</p><p>• Liaise with vendors and service providers on behalf of leadership</p><p>• Assist with trade show logistics and client event coordination as needed</p><p><br></p><p>Accounting & Finance</p><p>• Own accounts receivable end-to-end — invoicing, tracking, follow-up, and reconciliation</p><p>• Monitor outstanding balances and follow up on overdue payments professionally</p><p>• Maintain accurate records in QuickBooks Online, including general ledger and reconciliations</p><p>• Process and record incoming payments in a timely manner</p><p>• Assist with accounts payable and vendor invoice processing</p><p>• Prepare AR aging reports and financial summaries for leadership</p><p>• Support payroll coordination and expense tracking</p><p>• Flag discrepancies or collection issues promptly</p><p><br></p><p>---</p><p><br></p><p>WHAT WE'RE LOOKING FOR</p><p><br></p><p>• 3–5 years of experience in office management, administration, or a similar role</p><p>• Food & beverage or hospitality industry experience strongly preferred</p><p>• Proven experience managing accounts receivable and working with QuickBooks Online</p><p>• Strong attention to detail and ability to juggle multiple priorities</p><p>• Proactive and self-sufficient — you see what needs to be done and do it</p><p>• Professional communicator comfortable with high-end clients and vendors alike</p><p>• Proficiency in Microsoft Office and Google Workspace</p><p>• Familiarity with Salesforce or similar CRM is a plus</p><p>• Comfortable in a startup environment and building processes from scratch</p><p><br></p><p>---</p><p><br></p><p>WHAT WE OFFER</p><p><br></p><p>• $60,000–$70,000 base salary</p><p>• Health insurance</p><p>• 401K</p><p>• Additional benefits, including PTO and paid holidays, to be discussed during the offer process</p><p>• A foundational role in building Plantin's NY metro operation</p><p>• Direct collaboration with senior leadership</p><p>• The opportunity to represent one of the world's most prestigious truffle brands</p><p><br></p><p>---</p><p><br></p><p>Plantin is an equal opportunity employer.
